Vacature beschrijvingOur client is a biotechnology company specializing in messenger RNA (mRNA) medicines and is best known for developing one of the first COVID-19 vaccines. Currently they are looking for a versatile independent Senior Office Manager (40 hours, on-site) in Amsterdam.The offer· Temporary agency contract with Grafton for 12 months with a possible extension; no guaranteed· Salary indication depending on educational background and experience: € 4.000-€ 5.404,- gross per excluding 8% holiday allowance based on 40 hours; the salary is including travel allowance (the client does not have a travel allowance in their policy)· Start date: ASAPThe roleThis individual will support the General Manager and country cross functional management team to manage multiple projects smoothly and efficiently with broad group of people, such as preparing meetings, minutes, reports, follow up progress, etc. He/she manages office-related matters including office process set up, contracting and vendor managements, and provides supports to Cross Functional team in the Netherlands in organizing and coordinating cross functional meetings and events.The position requires extensive coordination and communication and other external parties, working with information that is of a confidential nature. A high degree of initiative, self-direction and collaboration is required. The role requires a high degree of tact and discretion, highly professional and corporate presence, self-confidence, flexibility, and adaptability. Ability to effectively work in a fast-paced changing corporate environment is critical to success in the position.In this role you will, but are not limited to:Project management supports:· Support Projects by coordinating, monitor and summarize progress of projects· Prepare minutes and reports, create power point slides for upper management· Drive progress thru follow-up action items with functional leads· Ensure completion of projects on time within budget and within scope.General office coordination duties:· Main point of contact for the serviced office reception and management teams· Screen and manage incoming calls, mail and deliveries directed from serviced office reception· Responsible for implementing and maintaining all office related procedures· Coordinate & follow-up all confidential document storage, retrieval and waste managementFacilities maintenance support:· Undertake and coordinate building safety requirements including fire warden and evacuation training and procedures· Coordinate with suppliers and services providers for all tenant maintenance· Work closely with IT Support in relation to communication, security, workstation, and office equipment systemsMeetings and events coordination:· Organise and/or support the organisation with general meetings, townhalls, offsites etc.· Book conference rooms and available offices for meetings (assist video call preparation and IT devices fully functioning)· Organise catering for business meetingsAdministration support:· Attend to and assist staff with general administration tasks and requests· Coordinate with IT and assist staff with the creation and maintenance of SharePoint sites· Help to guide and support staff with IT, HR, Finance and Contract Management related policies, procedures and online formsYour profile· 7+ years' experience in similar role· Language: Fluent English and additional language such as Polish or Dutch is a big plus!· IT affinity, particularly with Office and AV equipment· Intermediate to advanced skills with MS Office 365 app· Excellent verbal and written communication skillsEnquiriesMarcella Henryati, Recruitment Consultant M: 06-58811958When interested please apply with your English resume AND cover letter on our website: https://nl.grafton.com/nlBezoek voor meer gerelateerde vacatures
