- Executive support to senior leadership on both corporate and personal matters
- Handling varied one-off tasks and special assignments
- Day-to-day assistance with administrative and operational duties
- Managing documentation and tracking office expenditures
- Overseeing supply levels and placing orders as needed
- Setting up and maintaining organizational systems, workspace layouts, and equipment needs
- Serving as point of contact for property-related administrative issues
- Managing upkeep, repairs, and overall office functionality
- Maintaining a tidy and professional office environment
- Organizing calendars, scheduling meetings, and managing appointments
- Directing incoming calls and setting up remote communications
- Managing mail, emails, and preparation of business documents
- Arranging flights, lodging, and travel logistics for executives, staff, and visiting colleagues
- Facilitating communication and coordination with administrative staff in other locations
- At least 3 years secretarial / administrative work experience
- Advanced skills in Microsoft Professional (Outlook, Excel, Word, PowerPoint, Visio, etc.)
- Excellent written and verbal communication skills, in both Russian and English
- Knowledge of Dutch is an advantage
